Knowledge management in Microsoft 365: find faster, lose less, make better decisions

From taxonomy and semantic search to AI integration – we build your knowledge platform on SharePoint and M365.

Building knowledge management with Microsoft 365

Employees spend up to 20 percent of their working time searching for information. At the same time, valuable knowledge often remains hidden in people’s heads, old wikis and distributed storage locations.

Together with you, we build a knowledge platform based on SharePoint and Microsoft 365. This allows internal knowledge to be centrally captured, structured, found more easily and secured in the long term, also as a foundation for the use of AI.

Why knowledge management fails in many companies

Today, employees spend more and more time searching for knowledge and information.  The reasons are usually the same:

Knowledge get's lost

Experiential knowledge often remains in the heads of individual employees. When they leave the company, valuable knowledge is lost because it is not documented and is difficult to reproduce.

Knowledge is distributed, search remains unsuccessful

Information is stored in file servers, email inboxes, local storage locations and business systems. Without metadata, links and clear structures, search often does not deliver usable results.

No shared knowledge base

Different locations, teams and information levels make it difficult to access reliable knowledge. A central platform is missing that provides information consistently and makes it usable for everyone.

How a knowledge platform in Microsoft 365 changes the way you work with knowledge

  • Capture knowledge centrally and bring it together in a structured SharePoint platform, regardless of the source

  • Connect knowledge so that taxonomies and semantic links make relationships visible

  • Find knowledge in seconds with metadata, tagging and intelligent search enrichment

  • Keep knowledge up to date and reliable with approval processes, consistency checks and clear responsibilities

Knowledge management in practice: Oerlikon Metco

Oerlikon Metco: company knowledge centralized, connected and searchable

Oerlikon Metco had its knowledge distributed across thousands of digital and printed documents. Since 2012, the SharePoint-based Knowledge Portal has brought this knowledge together centrally and made it usable with semantic search and automated consistency checks.

In 2020, the migration to SharePoint Online and Azure followed. The result: better performance, lower costs and more flexibility.

With novaCapta, we once again experienced good and, above all, intensive collaboration. From our perspective, the profound professional expertise of the employees involved and the committed, professional project management are particularly worth highlighting. Direct contact with the developers was also repeatedly helpful for focused and transparent communication throughout the project.

How to build your knowledge management in Microsoft 365

Information architecture and SharePoint configuration

SharePoint already provides the technical foundation for knowledge management: web-based provision, flexible data modeling, metadata and configurable processes. What most companies lack is targeted configuration for their own knowledge context.

We define your information architecture, develop a metadata strategy and optimize SharePoint search so that your employees find relevant content faster and knowledge no longer remains trapped in silos.

Semantic linking and intelligent search in SharePoint

Semantic feature extensions turn individual documents into connected knowledge components. Information from different sources can be brought together, relationships between content become visible and search delivers results in the right context.

This creates a platform where knowledge is not only stored, but actively used.

novaCapta Wiki: your fast start into structured knowledge management

The novaCapta Wiki, based on SharePoint and Microsoft Teams, enables your teams to capture, structure and find knowledge directly in their familiar M365 environment. Hierarchical wiki pages, templates, approval workflows and integrated M365 search ensure a low entry barrier and high acceptance in everyday work.

What the Wiki does in practice:

  • Create wiki pages hierarchically and structure them with templates

  • Publish content via approval workflows and keep it up to date

  • Find all content immediately via SharePoint search

  • Collaborate directly on wiki pages with comments and likes

Frequently asked questions about knowledge management with M365

Do we need a separate tool or is Microsoft 365 enough?

SharePoint already provides many prerequisites for knowledge management, such as information provision, metadata and search. However, a well-thought-out information architecture, semantic links and clear governance rules are often missing. We configure your M365 environment specifically for knowledge management and, if required, supplement it with the novaCapta Wiki, without a third-party system and without additional license costs.

How long does it take to build a knowledge platform?

The effort depends on the size of the organization, the number of sources and the complexity of the taxonomy. That is why we recommend a phased approach: first define the information architecture and knowledge model, then implement step by step. This creates initial results early on that can be expanded in a targeted way.

How do we make sure the platform is actually used?

Acceptance is created through ease of use and tangible value in everyday work. That is why we rely on the familiar M365 environment, intuitive input forms and a search function that delivers relevant results. If required, we also support you with change management.

What happens to Viva Topics?

Microsoft Viva Topics was retired in February 2025. Existing topic pages were converted into regular SharePoint pages. Microsoft is now focusing on AI-powered knowledge management through Copilot. We support you during the transition, from securing existing content to building a knowledge platform that is prepared for Copilot and AI agents.
