SharePoint Server 2016 and 2019: support ends in July 2026

Microsoft is ending extended support for SharePoint Server 2016 and 2019 in July 2026. From that point on, on-prem environments will no longer receive security updates. For companies still using these versions, the risk of security vulnerabilities and compliance violations increases.

The family-owned company STIHL was faced with the task of moving its entire SharePoint 2013 environment to the cloud before the end of support. The project scope: almost 2,000 site collections and 12 TB of data used daily by several thousand employees.

How your SharePoint on-prem to SharePoint Online migration works

1. Analysis of the existing environment

We capture your SharePoint landscape with tool support: site structures, permissions, workflows and integrations. In the process, we identify optimization potential. In previous projects, this enabled us to reduce migration volume in advance by up to 20%.

2. Definition of the target architecture

Together, we define how your SharePoint environment will be mapped in Microsoft 365: which content moves to SharePoint Online, what is integrated into Microsoft Teams and which data is archived. If required, we design a hybrid solution.

3. Creation of the migration concept

Based on the analysis, we create a concrete migration plan: sequence of migration waves, time windows and a communication plan for your employees. You receive a clear roadmap with an effort estimate.

4. Execution of the migration

The actual migration is carried out in automated waves via the novaCapta Migration Manager and ShareGate. By distributing the migration across several migration windows, such as weekends, your day-to-day business remains uninterrupted. Each wave is checked and documented afterwards.

5. Archiving and shutdown

After successful migration, the on-prem environment is archived and gradually shut down. This reduces your infrastructure costs and simplifies your IT landscape.

6. Change & adoption

A migration is only successful when your employees use the new environment productively. We support the transition with targeted communication and training measures.

As the central control platform, the Migration Manager orchestrates the entire migration process. In combination with ShareGate, it distributes your data across several automated migration waves. 

The central cockpit shows at all times which data has been migrated where and where action is required. By using several ShareGate instances in parallel, the project duration is reduced significantly

Before the migration, SiteScan captures all existing content in your environment: web parts, lists, libraries, workflows and apps. Compatibility issues are identified early and not only after go-live. For functions that are mapped differently in SharePoint Online, we develop suitable migration paths.

Frequently asked questions about SharePoint on-prem migration

Will ongoing operations be disrupted during the migration?

The migration is carried out in planned waves scheduled for low-activity time windows, such as weekends. Your employees continue working as usual during the migration. Each wave is checked afterwards before the next one starts.

What happens to existing workflows, apps and integrations?

Before the migration, our analysis tool novaCapta SiteScan captures all existing content: web parts, lists, libraries, workflows and apps. Compatibility issues are identified early. For functions that are mapped differently in SharePoint Online, we develop suitable migration paths.

Can very large or complex environments also be migrated?

Yes. If required, the novaCapta Migration Manager orchestrates several migration servers in parallel and controls the process via automated waves. This also makes environments with multiple farms, a long history or thousands of site collections predictable to migrate.

What happens if not all data can move to the cloud?

If compliance requirements or archiving specifications rule out a pure cloud solution, we design a hybrid architecture. Operational data is stored in SharePoint Online, while selected content remains on a separate platform.
